Per-product, per-branch stock
Orcaa keeps an independent stock balance for each product at each of your branches. So if you have more than one location, you clearly see what's available at each branch without mixing balances, and you manage purchasing and dispensing per branch. This separation gives you a true picture of your inventory wherever it is, and spares you the surprise of a product running out at one branch while it overflows at another.
Minimum and maximum thresholds and low-stock alerts
For each product you set a minimum and maximum stock level that reflect your consumption rate and reorder cadence. When the balance drops to the minimum, the system sends a low-stock alert automatically so you reorder in good time before it runs out, so you don't lose a sale or disrupt a service. And the maximum reminds you not to pile up excess quantities that tie up your capital or approach expiry.
Batches and expiry dates with first-in, first-out (FIFO)
For products that expire, the system provides optional batch management. Each batch is recorded with its quantity and expiry date, and the system dispenses automatically on a first-in, first-out (FIFO) basis — that is, it consumes the oldest batch first. And a product's balance always equals the sum of what remains in its batches, so the figures stay consistent with no gaps.
The daily pre-expiry scan
The system runs an automatic daily scan of batches and alerts you well before any batch's expiry approaches. This gives you a chance to clear or promote the product before it becomes unusable, so you reduce waste and protect your profits. And because the feature is optional, you enable it only for the products that need it.
Internal-use consumption (no revenue)
Not every inventory movement is a sale. Many businesses consume products while delivering a service — such as supplies and materials in clinics, salons, and spas. So the system provides internal-use consumption (service_use): the quantity used is deducted from the balance without recording any revenue. The result is that your stock balance stays accurate, and your sales aren't inflated by movements that aren't actual sales, so your financial reports are honest.
Product variants
When a product comes in more than one option — size, color, or volume — you record it as a single product with several variants instead of separate, near-identical products. The system tracks an independent balance for each variant, so you know precisely what's available of each option, and you receive low-stock alerts at the variant level itself. This keeps your product list tidy and reflects your real inventory option by option.
