Dental Lab Cases
Track every crown, bridge and denture you send to an outside lab — from the impression to the fitting — with due-date alerts, remake tracking, and a monthly statement per lab at the prices you entered.
Step 1 — Add your labs (once)
From the sidebar open Lab Cases, go to the Labs tab, and add each laboratory you work with: its name, contact person, phone, and optionally a default turnaround in days. The turnaround pre-fills due dates on new cases, so a lab that usually takes five days suggests the right return date automatically.
Step 2 — Create a case when you take the impression
Press New lab case (or use the + create menu anywhere in the app). The guided dialog walks you through it: pick the patient and the treating dentist, choose the lab from a visual picker, pick the prosthetic type — crown, bridge, veneer, denture, implant restoration, aligner, night guard and more — then select the teeth in FDI notation, type the shade (like A2) and material (like zirconia), enter the price you agreed with the lab, and set the due date. You can link the case to a treatment on the patient's dental chart, and attach photos or scans to it.
The price you enter is the source of truth
Whatever you type as the case's cost is what the whole system uses: it appears on the lab's statement, it feeds the treatment's lab fee, and it keeps procedure profitability and net-of-cost commissions accurate — with no double entry anywhere.
Step 3 — Move the case through its statuses
Each case moves Sent → In lab → Try-in (optional) → Received → Fitted, from the case page or straight from the row's menu. Small labs that never confirm "in lab" can jump directly from Sent to Received. If a received piece doesn't fit, press Remake with the reason — the case starts a new cycle, and the system counts remakes per lab so you know who reworks too often.
Nobody sits in the chair before the piece is back
The Overview tab shows what's due soon, what's overdue, and what's still at the lab. A daily reminder warns you before a case runs late — and specifically flags any case due back after the patient's next appointment, while there's still time to call the lab. And the moment a piece is received, the patient is notified automatically, and reception and the dentist are alerted so the fitting actually happens.
Step 4 — Close the month with the lab's statement
From the Labs tab open any lab's statement. Pick the month and you'll see the pieces made that month grouped by type at your prices — for example: 5 × zirconia crown = 4,000 — plus the lifetime totals: billed, paid, and the outstanding balance with its age. When you settle the lab's bill, press Record payment (amount, date, method, reference). The payment can automatically post an expense to your finances, so your profit and loss stays honest without extra bookkeeping.

The Overview's per-lab table shows each lab's open cases, remake rate, average turnaround, and outstanding balance. Next time you choose where to send a big case, decide with data — not gut feeling.
